Who we are
WaitClock is dispatch, electronic field tickets, and an SWD line map for water haulers. Legal entity name and state: to be confirmed.
What we collect
If you fill out the pilot form
Your name, company name, email, and anything else you choose to give us: phone, truck count, where you haul, and your message. We also keep a scrambled code made from your internet address. It changes every day. We use it only to stop spam and abuse of the form.
If you use WaitClock at a desk (owners and dispatchers)
Your name, email, and password. We never store your password itself, only a scrambled version of it. To protect your account, we keep the time of your last sign-in and a count of recent failed sign-ins.
If you drive with the WaitClock app
Your name, your phone number if your company adds it, and which truck you are driving. Your PIN is stored scrambled, never as the PIN itself. We keep a record of which phone is signed in, when it signed in, and when it was last used.
Truck locations
Position, time, speed, heading, and how accurate the position is, for your company's trucks. It comes from your ELD if your company connects one, and from the driver app only while the driver is signed in, on shift, and the app is open. ELD positions come in whenever the ELD reports them, not only when a driver has the app open. The driver app works without location. See Your trucks' location data below.
Tickets and loads
What goes on a field ticket: customer, lease, tank, gauges, barrels, SWD, drop slip number, times, signatures, and photos the driver takes. Each status tap the driver makes (en route, at pickup, and so on) is saved with its time, and with the phone's position when location is on.
ELD access keys
If your company connects an ELD, we store the access key encrypted.
How we use it
- To run dispatch, tickets, and the driver app for your company.
- To build the SWD line map (see below).
- To keep accounts safe and stop abuse.
- To talk with you about a pilot, if you asked for one.
We never sell your trucks' location data. The same promise for all other data: to be confirmed.
Your trucks' location data
Where it comes from
- Your trucks' ELD (Motive or Samsara), once you connect it in setup.
- The driver app, only while the driver is signed in, on shift, and the app is open on the screen. A phone browser app does not send position from the background. Tapping "End shift" stops it right away.
The app works without it
A driver can say no to location. Taps and tickets still work. Location adds a record behind the times; it is not required.
Before the phone asks, the app shows one plain screen: what it collects, why, who sees it, and how to stop.
You own it
Your trucks' location data belongs to your company. WaitClock uses it to run your account and to work out anonymous line times. We never sell it. We never show it to another hauler.
Who sees what
- Your owners and dispatchers: your own trucks.
- Your drivers: their own loads and line times.
- Other haulers: only anonymous line times at disposal sites, and only when trucks from at least 2 companies besides their own made visits in that window. Otherwise they see "Not enough trucks yet." Your company always sees its own trucks' numbers.
- Your customers (operators): only the summary times on tickets you send them: arrived, in line, unloading, left, time on site, and how many position points back it up. Never the raw track.
How long we keep it
Raw position points are deleted after 13 months, and so are the positions saved with status taps and each truck's visit times at leases and SWDs. Summary times stay with each ticket. The line map uses only the last 28 days of visits.
Take it with you
Owners can download the company's raw position points as a CSV file: Setup, then Company, then Download location history.
Who can see what
- Your company sees its own trucks, drivers, loads, tickets, and customers.
- Other haulers never see your trucks, drivers, customers, or leases.
- The SWD line map is built from truck visits across all companies on WaitClock. It shows only counts and minutes for each SWD, such as how many trucks are on site and the typical time on site. It never shows which company, truck, or driver. Another company sees your trucks in a reading only when trucks from at least 2 companies besides its own made visits in that window. At an SWD where very few trucks go, a count like "1 truck on site" names no one, but someone who knows the area might guess whose truck it is.
- Your customers (operators) see only the summary times on tickets you send them, never the raw track.
- Our staff can see account data when needed to support the service and keep it running. Staff access policy: to be confirmed.
- Service providers that host or run parts of the service for us. List (hosting, email delivery, map tiles, script delivery): to be confirmed.
- Map pictures in the signed-in app come from a map tile provider. When your browser loads a map, that provider sees your internet address. The map code itself loads from cdnjs.cloudflare.com, which also sees your internet address. The maps on this public site are drawn by us and load nothing from other sites.
- The law. We share data if the law requires it. Wording: to be confirmed.
How long we keep it
- Raw truck position points: deleted after 13 months.
- The phone's position saved with a status tap, and each truck's visit times at leases and SWDs: deleted after 13 months. The tap and its time stay with the load.
- Summary times on a ticket: kept with the ticket.
- Anonymous line times: the line map uses only the last 28 days of visits.
- Field tickets are records. In WaitClock a ticket can be voided but is not erased, so there is always a trail.

Cookies
We use a cookie to keep desk users signed in, and a cookie that protects forms from forged requests. The driver app uses a sign-in key stored on the phone. No ad or tracking cookies: to be confirmed.
Your choices
- Your company can export its tickets.
- Owners can download the company's raw position points as a CSV file (Setup, then Company, then Download location history).
- Drivers can deny location on the phone, or tap "End shift," and the app still works.
- To ask what we hold about you, or to ask us to correct or delete it, use the form on the Pilot page and say it is a privacy request. Process and response time: to be confirmed.
Kids
WaitClock is for businesses. It is not meant for anyone under 18. Age: to be confirmed.
